
Debtors is a fully featured Accounts Receivable program,
providing complete and accurate information of your customer's credit position.
The production of statements, debtors aged trail balance, and other related
reports are always readily available.

As well as assigning the usual contact details
for each customer, you can enter multiple delivery addresses, set; Credit
Limits, Payment Terms, GST Status, Departments, Retention Tracking, and Default
Bank Account Details. You can also include Internal Notes regarding a
customer that are only viewable during program operation.
An important consideration is the ability to set
your customers up as either open item or balance forward accounting
methods. Open Item accounting allows you to reconcile receipts or credit notes
to specific invoices, while a Balance Forward system combines all previous
unpaid aged balances with the current invoices at the end of each period and
receipts are paid against aged balances, not an actual invoice.

One option for a customers payment terms is Seven
Days. For each customer you enable, the program will provide seven day aged
balance and ledger reports.

Allows the entry of manual
transactions (invoices, credit notes) directly to the ledger. This features is normally used
for hand written transactions, or where there is no requirement for producing
computer invoices.
ENTRY FIELDS;
Invoice number, Date, Description, Invoice values (sub total,
GST, and total), Age, Analysis and General Ledger code.
The program also displays invoices posted from Invoicing to Debtors, with the
same values.
A pop up window is available during Transaction Entry, to
display customer aged balances, with outstanding invoices.

When customer receipts are received, the receipts must be
matched to the invoice values. You can either assign the full invoice value
for the receipt, or enter the amount being paid off the invoice. Receipt types can
be CASH, CHEQUE, EFTPOS, DIRECT CREDIT, or CREDIT CARD.
A click of a button will transfer the daily
receipts as a deposit (into the bank) into Cashbook as well as provide you with a Bank Supplement report for use as a
deposit slip. The Bank Supplement includes your company name and bank
Account as well as a breakdown of receipt types.

The program uses wizards to step you through Journal process,
to avoid any imbalance. These include;
Move Aged Balances. Clear Bad Debts. Reverse Cheque Payments.

To avoid duplication of data entry, the Debtors program
is linked to; Invoicing, Cashbook,
GST, Jobcard, Jobcost, Bad Debtors, Analysis and General Ledger programs.

Standard customer statement
production is available on an advanced statement screen selection option
that enables you to view each customers aged balances and to only select those customers you
wish to print statements for. This advanced feature allows you to set a
selection criteria (Age Selection, Exclude Zero
Balances, etc.)
A customised statement layout service is also available.

This feature is for your larger customers with multiple branches. It is used when the customer requires you to send invoices to the branch
and a combined statement to the head office.

If used, a user can assign an analysis code for each transaction.
These codes are user definable. An
option is available to ensure a code is assigned, before posting can occur.
If enabled, this feature is also available in Invoicing, Jobcard and Jobcost.

The customer analysis feature is a
powerful tool to discern where your sales are actually coming from.
If setup, this analysis process will occur automatically as each transaction is
posted. This is normally used to analyse customer sales trends.
The report includes the monthly and Year to date values of
transactions assigned to each code. Once setup, there is no further
actions, apart from viewing the monthly reports. This differs from
Transaction Analysis, where you have to select an analysis code for each
transaction
The are four customer analysis fields, with
each one allowing the entry of user definable analysis codes. Two field examples are; Area and
Customer Type, with each field having multiple selection of choices.

This method allows you to assign individual customers a default discount price
level, so they automatically receive a special price (or discount) during
invoicing entry for specified groups of products.
You can have Ten Price Levels. Each level can be sold at
either Cost, Trade, or Retail with a plus / minus percentage. After setting up
the products with the specific discount levels, you then assign a level to a
specific customer.
